Next Steps to Customizing Your GTRA Event:

1. What are your goals – thought leadership, brand awareness, face-time networking, product demo, new launch, research/development?
2. Determine your type of event: Luncheon, Happy Hour, Briefing, Workshop, Live Demo, Panel, Think-Tank, Boardroom, Training
3. Collaborate with your sales/marketing teams and GTRA to determine your event “topic/title/theme”
4. Select date – Thursday’s are recommended, avoid holidays/breaks/large competing events (See available months below)
5. Establish who you want GTRA to invite – Small and exclusive? Mass invitation to all subscribers? Council-only? Your own list?
6. Work with GTRA to create approved invitations for us to send


Your Company Will Need To Provide:

  • Main point of contact to communicate all items above to our team
  • Final approved content, images, and any custom HTML you want us to use for marketing
    • All-text invitations have a higher success rate or HTML if you prefer but some are blocked by government filters
  • Any equipment, audio visual, set up, signage, etc. on-site at your event will be at your expense/set-up
  • Attending executives from your company should be senior executives, federal sales, BD and technology experts

Direct Costs:

  • GTRA will provide you Food & Beverage recommendations depending on the venue you select, or you can choose your own (*F&B costs are not included, we only advise and coordinate)
  • F&B orders are placed directly through the venue so you can manage all of your direct costs and they will bill you directly

GTRA Provides:

  • Consultation on all areas above to help make your event as successful as possible
  • Recommend type of event, location, dates, etc.
  • Reserve venue (unless you prefer to make your own reservations) and provide you venue point of contact for direct billing (venue rental costs not included)
  • GTRA will recommend venues based on the type/size of event, however the venue choice is yours! Depending on the size and type of event, GTRA can negotiate complimentary venue space with your Food and Beverage package.
  • You have the option to host your event at your own site
  • Marketing & Promotion
    • Invite Council Members, Speakers, Delegates, Ambassadors
    • Send eBlasts to all applicable GTRA subscribers
    • Publish press release announcing event and who is invited
    • Include event in all newsletters, council bulletins, etc.
    • Event posted on all GTRA websites, event sites, social media, etc.
    • Any eblasts sent will provide statistics reports (open/click-through) to you
    • Attendee contact information
